Our Paint Addictions ("we", "us") manufactures paint by numbers kits from our factory in Chengyang District, Qingdao, Shandong, China. This policy explains what personal information we collect through ourpaintaddictions.com/, why we collect it, how long we keep it and what you can ask us to do with it.

1. Who is responsible for your data

2. What we collect

• Enquiry and quote data: your name, company, business email, phone or WhatsApp number, shipping country, project details and any files you send us.
• Order data: billing and delivery addresses, purchase order details, payment reference information (we do not store card numbers — payments are made by bank transfer or through PayPal, which handles card data itself).
• Technical data: IP address, browser type, device type, pages viewed, referring site and approximate location, collected through server logs and, where you consent, analytics cookies.
• Communication data: the content of emails, form submissions and chat messages with our team.

3. How we use it

• To reply to enquiries, prepare quotations and produce samples or orders.
• To fulfil contracts: production, packaging, shipping documentation and after-sales support.
• To improve the website and understand which pages help buyers.
• To send occasional product updates or price lists, only where you have asked for them or where we have an existing business relationship and you have not opted out.
• To meet legal, accounting and customs obligations.

4. Our legal bases (GDPR)

Where the GDPR applies, we rely on: performance of a contract (processing orders), legitimate interests (responding to business enquiries, improving our website, preventing fraud), consent (non-essential cookies and marketing emails), and legal obligation (tax, accounting and export records).

5. Contact forms and FormSubmit

Our enquiry forms are delivered by a third-party form service, FormSubmit (formsubmit.co). When you submit a form, the information you enter is transmitted through FormSubmit's servers to our email inbox at wholesale@ourpaintaddictions.com and copied to sales@ourpaintaddictions.com. FormSubmit processes the message only to deliver it to us; it may process your IP address to protect against spam. We keep form submissions in our email system for as long as needed to handle your enquiry and any resulting order.

We use a hidden honeypot field to deter spam bots, and we do not use your form data for any purpose other than answering you.

6. Sharing

We never sell your personal data. We share it only with: shipping carriers and freight forwarders (name, address, phone, order contents), our bank and payment providers (payment references), customs brokers and authorities where legally required, and IT service providers who host our email and website under confidentiality obligations. Where you ask us to send goods to a third-party warehouse or marketplace (for example Amazon FBA), we share the delivery details you provide.

7. International transfers

Our operations are based in China, and our email and hosting providers may process data in other countries. Where we transfer personal data out of the EEA or UK, we rely on appropriate safeguards such as standard contractual clauses, or on the necessity of the transfer to perform our contract with you.

8. Artwork and design files

Photos and artwork you send us are used only to produce your order. We do not publish, resell or reuse customer artwork, and we sign NDAs on request. Files are archived while you remain an active customer so reorders are quick, and deleted on request.

9. Retention

Enquiries that do not lead to an order are deleted after 24 months. Order and accounting records are kept for 7 years to meet tax and customs requirements. Website analytics data is retained for 26 months.

10. Cookies

Essential cookies keep the site working and remember your cookie choice. Analytics cookies (where enabled) help us understand traffic; they are set only with your consent. You can clear or block cookies in your browser at any time — the site will continue to work.

11. Your rights

Depending on where you live, you may have the right to access, correct, delete, restrict or port your personal data, to object to processing, and to withdraw consent. California residents may request disclosure of the categories of personal information collected and opt out of any "sale" of personal information — we do not sell personal information. To exercise any right, email wholesale@ourpaintaddictions.com. You also have the right to complain to your local data protection authority.

12. Security

We use encrypted connections (HTTPS), restricted access to order files, and role-based access to customer data inside our factory. No system is perfectly secure, but we take incidents seriously: if a breach affects your rights, we will notify you and the relevant authority without undue delay.

13. Children

Our website and B2B services are not directed at children under 16. We do not knowingly collect their personal data. If you believe a child has submitted information, contact us and we will delete it.

14. Changes

We may update this policy to reflect changes in our services or the law. The date at the top of the page always shows the current version.
